Defined Terms

Robin AI’s contract copilot now includes the ability to check Defined Terms. This feature is accessible via the Add-In for Microsoft Word. To access the Add-In for Microsoft Word, please follow the instructions on this page [ https://help.robinai.co.uk/article/using-robin-ais-microsoft-word-add-in-to-accelerate-contract-review ].

This feature of the AI contract copilot is designed to enhance accuracy and make it faster for lawyers to carry out contract review and analysis. Ensuring that Defined Terms are used correctly throughout a contract is an integral part of contract review and mitigates business risks.

How do I access Defined Terms?

Use the Microsoft Word Add-In to access the AI contract copilot. You will see a tab at the top of the Add-In that says “Actions”. Click on the Actions tab and you’ll then see the option to “Check Defined Terms.” Our AI contract copilot will take a few seconds to read through your contract, and will then flag all issues it has identified that relate to Defined Terms.

Alternatively, from the “Chat” tab you can click on the Ask Robin search bar at the bottom of the sidebar and then select “Check Defined Terms” along with other actions to support your contract review processes like finding specific clauses, or summarizing your contract.

What does Defined Terms do?

This feature will capture issues relating to Defined Terms, will provide instructions about how to rectify the issues, and will insert text into the contract to correct the issues flagged where the legal professional has “Accepted” the suggestions.

The feature will flag the following types of issues with Defined Terms:

  • Instances where the wrong term has been used
  • Instances where there is missing capitalization of a defined term

Robin AI’s contract copilot is designed to work alongside legal professionals to enhance speed, accuracy and simplicity during contract review. All suggestions will be flagged, and it’s your decision whether to “Accept” or “Dismiss” the suggestions that have been provided. Once you have selected “Accept” or “Dismiss” you will be automatically taken to the subsequent issue that has been flagged by the AI contract copilot.

As you work through the document, you’ll have the option to “Show term definition” which will automatically scroll you to the part of the contract that has the definition of the defined term. This is to make the workflow seamless for you as you work through the issues that have been identified by the AI contract copilot.
